We are seeking a Studio Coordinator on a contract basis to support their business needs. This role is onsite in San Francisco, CA.
We are looking for a creative thinker with experience in day to day office support, including facilities support and event coordination. This person will be required to be in the SF Studio during business hours, with after-hours support as needed.
It is imperative that this candidate is self-motivated, creative and strategic while being efficient with a strong attention to detail. Excellent customer service is key in order to create an enjoyable experience for everyone on-site. The ideal candidate will have a collaborative spirit and work with various teams and vendors to ensure all aspects of the Studio are well maintained.
Experience coordinating events, supporting facilities needs, and overseeing the overall office experience are must-haves to be successful in the role. The candidate will be the on the ground support for all Studio needs including, but not limited to: managing landlord communications, coordinating maintenance requests, and ensuring compliance with safety regulations. They will play a pivotal role in maintaining the smooth operation of the Studio, providing essential support for tasks such as inventory management, space planning, and ensuring a welcoming environment for both employees and guests.
The SF Studio Coordinator will be responsible for managing the in-person Studio experience, fostering human connection and employee engagement by facilitating a consistent experience at the Studio. This will include overseeing daily operations, supporting building needs, and serving as the primary liaison for all on-site events; ultimately providing a delightful and productive experience to employees and visitors.
Studios will be collaborative spaces where employees gather for in-person team meetings, large group events, and community building. These spaces will be instrumental in how we drive community and culture every day in the Virtual First environment.
This role requires strong communication, project management and problem solving skills; in addition, to the ability to independently execute and manage projects with high-level direction from their manager. The candidate must be able to drive bold, creative and innovative solutions for the business, while also navigating ambiguity in fast-paced environment where things change quickly.
What You'll Do:
- Support Studio services, operations and experience — including day to day operations and events
- Support the Studio Manager for the SF Studio food services program including Little operations, snack program, and coordination of onsite catering as needed
- Gain full-knowledge of the Studio, event spaces, layout options, as well as functional details and storage locations of all event assets
- Perform weekly studio audits & escalate issues through the appropriate ticketing system
- Day to day management of Events, including managing the event intake system, organizing guest access, and requesting additional security when needed
- Develop and implement new processes and programs to help streamline event management across regions
- Provide post event feedback and improvement areas
- Help maintain Company Events Calendar
- Collaborate with cross-functional teams to ensure smooth execution of events
- Drive various internal communications under the Operations Program Manager, including creating employee knowledge articles and team newsletters
- Promote the office, experience, culture and community in-person at the Studio and virtually during meetings
- 2+ years of operations, events, and facilities experience, preferably in a dynamic tech company or professional office environment
- Strong project management skills - proven ability to handle multiple projects and priorities within agreed timelines
- Strong creative ability
- Being reactive and able to tackle unforeseen challenges
- Experience using ticket management or customer service software, ServiceNow preferred
- Experience using Google Calendar
- Available to work events (day, evening, weekend) as business demands
- Proven entrepreneurial skill-set, delivering hustle with style and grace Strong communication skills (verbal & written), attention to detail, organizational planning, time management, and multi-tasking abilities
