We are seeking a Supplier Coordinator on a contract basis to help support our Customer’s business needs. This role is 100% remote.
The Supply Coordinator, Sourcing & Acquisition - supports the Supply Acquisition Leads in bringing on high-quality, in-demand experiences hosted by expert hosts. You will focus your time and efforts to supporting the research, curation, sourcing, and organization of assets needed to support the supply acquisition funnel. This workstream is responsible for ensuring the project is supported with coordinating needed information, schedules, data, communicating and supporting with vendors, reporting on status updates, and supporting presentations for the Supply Acquisition Leads.
This creative, organized and passionate individual will support teams and projects to bring new supply to the platform.
What You'll Do:
- Project Coordination: Support project coordination, planning, production and execution, including the development and tracking of timelines, schedules, milestones estimates, budgets and action items across multiple inputs.
- Industry Awareness: Stay up to date with the latest trends, technologies, and best practices in experiences via entertainment and travel industries and contribute innovative ideas to enhance project outcomes.
- Source Supply - with direction from the Leads, source supply and potentially conduct early outreach for experience hosts.
- Inclusivity: Foster a respectful, supportive and inclusive environment where all team members and stakeholders feel safe and empowered to do their best work.
- Review Leads - Ensure vendor-sourced leads meet Supply definition and quality guidelines.
- Stakeholder Communication: Facilitate effective communication and collaboration across team members and stakeholders - including senior leadership - providing regular project updates and proactively flagging any issues or blockers.
- Support and Coordinate Meetings - Support in the program management of regular calls with vendors. Keep agendas, meeting notes, and team milestones.
- Project Documentation: Create and maintain accurate project documentation, including project briefs, schedules, budgets, estimates, resource plans, and status updates.
- Provide weekly Project Update - Develop and internally circulate weekly project updates tracking project goals and progress.
- Support & Develop Presentations - Support team in developing visually appealing keynote presentations showcasing new supply examples, research examples, and supply funnel as needed.
- Coordinate Information - Support the accurate accounting of information in data trackers, including Salesforce
- Vendor Management: Liaise with external vendors and contractors, manage contracts, and oversee work to ensure timely and high-quality deliverables.
- Support Training needs of vendors - Support training questions and needs of vendors to integrate into the data tracking systems
- Attend Experiences - The best way to improve the supply is to experience it yourself. Please plan to attend a minimum of 3 experiences per month.
Must-haves:
- 6+ years in experiential production coordination, project management, program management, event creative coordination, experiential travel coordination or related fields.
- Bachelor’s degree or equivalent professional experience in fields including entertainment design, creative advertising and production, event production, experiential marketing, editorial travel, hospitality creative, or related disciplines
- Project management skills: Strong organizational skills, attention to detail, and the ability to manage and prioritize the coordinator and production of multiple projects and workstreams simultaneously end-to-end
- Flexibility: Ability to thrive in a fast-paced, dynamic environment and adapt to rapidly changing priorities with high-level direction
- Creativity and innovation: Ability to think creatively and participate in the generation of unique ideas for novel experiential entertainment and hosted travel concepts
- Communication: Exceptional verbal and written communication skills, including the ability to articulate and summarize complex ideas clearly and compellingly – strong presentation and public speaking skills are a plus
- Technical proficiency: Familiarity with common project management and documentation tools, with the ability to quickly adapt to new technologies and processes
