The Mom Project is excited to partner with Sensiba in their search for an Office Manager. This role will be Hybrid in the Bay Area, Pleasanton, or San Jose, CA. The ideal candidate must have experience managing/leading a team of direct reports. Leadership experience is key for this role.

Position Summary:

We have an exciting opportunity for a Tax Administrator to help our Tax Administration department in a variety of important ways. The Tax Administrator is responsible for assisting in the coordination of our process improvement and tax training for Administrative Assistants and Executive Assistants, as well as assisting in other areas of Tax, including performance management, Promapp processes, tax software improvement, billing, automation, project management, and other related projects, as needed.

Essential Functions:

  • Facilitate tax administrative training schedule on all tax software
  • Prepare training materials/schedules
  • Train newly acquired tax office staff on admin procedures/processes
  • Review all Promapp processes and maintain updates
  • Schedule regular tax administrative process improvement workshops
  • Schedule regular check-in meetings with tax Executive Assistants
  • Research/review new software solutions and/or updates
  • Work with ops teams as tax administrative representative
  • Manage tax deadline project clean-up and updates
  • Attend Tax Manager WIP meetings and communicate any updates to administrative staff
  • Stay up to date on IRS changes and update tax administrative staff accordingly
  • Generate invoices after-tax work completed
  • Work with IT on automation of tax administrative processes
  • Maintain and update all tax administrative documents (i.e. assembly instructions, staff hourly rate changes, organizer letters, SW’s templates, Pfx scanning cover sheets) and communicate them to administrative staff

  • Strong technical skills, with proficiency in Excel, Word, Outlook and PowerPoint, and use of Promapp and tax software systems

Education, Knowledge, Training and Experience:

  • A Bachelor’s degree in a related area of discipline preferred
  • Minimum 5 years of administrative experience
  • Ability to travel throughout the SF Bay Area as required
  • Experience supporting a public accounting or professional services firm is highly preferred
