We are seeking a Transition Coordinator on a contract basis to help support their ongoing business needs. This role is hybrid (3 days on-site and 2 days remote/week) in Charlotte, NC.
This position supports the transition of new and expanded work dynamics integrated facility management accounts, and account expansions with a focus on supplier onboarding and procurement deliverables.
Shift: 8 am-5 pm EST, M-F, flexible with a 6:30 am or 7 am start.
Responsibilities:
- Support internal teams and client stakeholders with supplier onboarding processes through sourcing and procurement technology platforms
- Perform data entry and data management activities related to supplier onboarding and transition efforts
- Assist in creating and compiling vendor information packets and required attachments
- Manage large datasets and create dashboards and reports using advanced Excel functions
- Ensure completion of required due diligence for supplier onboarding, including administration within work order and compliance systems
- Maintain and administer supplier files to ensure compliance with organizational and client requirements
- Complete bulk upload templates using multiple data sources during transition periods
- Research and identify missing vendor contact information using internal systems and external resources
- Manage phone and email communications with supply partners, escalating issues as needed to transition leads
- Conduct regular follow-up outreach with assigned vendors to support registration, onboarding, and troubleshooting of system issues
- Collaborate with internal and external stakeholders to support onboarding and transition activities
- Independently identify issues and develop effective solutions for stakeholders
- Ensure compliance with sourcing, contracting, and onboarding policies and procedures
- Track and document all correspondence and authorizations with detailed and accurate records
- Support communication and resolution of compliance items related to certificates of insurance and rate documentation
Skills and Qualifications:
- Strong written, verbal, and interpersonal communication skills
- Strong multitasking and prioritization abilities in fast-paced environments
- Advanced proficiency in Microsoft Office applications, particularly Excel
- Experience using advanced Excel functions, including VLOOKUP, pivot tables, and duplicate checks
- Strong organizational skills with analytical and problem-solving capabilities
- Ability to manage multiple projects with varying timelines simultaneously
- Ability to meet time-sensitive deadlines and escalate issues appropriately
- Experience working with sourcing, procurement, or supplier management systems
- Ability to collaborate effectively with cross-functional teams
Preferred Qualifications:
- Working knowledge of sourcing, procurement, vendor management, or compliance platforms
- Experience with supplier onboarding, transition, or compliance processes
- Experience creating dashboards and performing data analysis
- Ability to adapt quickly to new technologies, tools, and systems
- Change management mindset with the ability to identify and support process improvements
