Our Customer is seeking a Travel and Expense Specialist on a contract basis to help support their business needs. This role is 100% remote.
The Travel & Expense Specialist will play a key role in scaling travel, events, and expense operations. This dynamic role works closely with stakeholders, legal, and finance teams to streamline processes, ensure policy compliance, and drive operational efficiency through automation and insights.
Core Collaboration Hours
- Americas (NAMER): PT 9 am–1 pm
- Europe (EMEA): GMT 10 am–12 pm & 4–6 pm
- Asia Pacific & Japan (APJ): GMT+9 9 am–1 pm
Responsibilities:
Travel, Events & Expenses (80%)
- Triage and resolve ticketing system requests, ensuring timely SLA compliance.
- Maintain documentation, reporting, and HelpMe page content.
- Leverage automation to streamline workflows.
- Collaborate cross-functionally to resolve complex issues.
- Monitor and enforce compliance with travel and expense policies.
- Deliver training and guidance to employees on policies and systems.
- Support internal and external audits.
- Manage TMC-related travel requests (VIP travel, delegations, visas, etc.).
- Support off-site and event planning, including hotel blocks, contracts, and attendee management.
- Review and reconcile P-card payments, addressing discrepancies.
- Audit transactions in Concur and Uber against policy.
- Facilitate onboarding/offboarding related to T&E processes.
- Manage corporate credit card issuance, maintenance, and transaction reviews.
Procurement (10%)
- Enforce procurement policies and support audit processes.
- Manage supplier onboarding in Oracle Fusion ERP and coordinate risk/security reviews.
- Perform monthly SLA audits of preferred suppliers.
- Oversee purchase requisitions, change orders, and invoice/payment issues.
- Administer contracts (SOWs, sponsorship agreements, order forms).
Transformation & Insights (10%)
- Identify and implement automation opportunities within T&E and procurement processes.
- Partner on transformation projects to improve workflows and efficiency.
- Analyze and report actionable insights from T&E data.
- Benchmark against industry best practices to maintain a best-in-class environment.
Skills and Qualifications:
- Bachelor’s degree in Business, Supply Chain, or a related field preferred.
- Alternatively, 4+ years of proven travel operations experience.
- 2–5 years of travel and analytical experience.
- Proven proficiency with ticketing systems (e.g., ServiceNow).
- Experience with T&E tools (especially TMC systems).
- Strong written and verbal communication skills.
- Analytical expertise with qualitative and quantitative insights.
- Intermediate to advanced skills in Excel and Alteryx.
- Project management and contract review experience.
- Ability to manage multiple priorities in a dynamic environment.
