Job description

We are seeking a Vendor and Operations Coordinator on a contract basis to help facilitate the process and grow our capacity to support our internal partners. A detailed and solutions-oriented, people-first professional who is skilled at driving clarity across diverse audiences, while also proactively providing creative suggestions to continuously improve tools and processes. For each Vendor, we must ensure proper facilitation of legal contracts, risk management protocols, personal data privacy protections, security approvals, payments, and general vendor management efforts are in line with the company standards. This role is a hybrid setup with 2 days onsite and 3 days remote at our Customer’s Beaverton, OR location.

What you’ll do:

  • Project management of vendor contracting process from intake to execution for approximately 30 active Consumer Insights contracts at any given time
  • Negotiate Metropolitan Statistical Area (MSA) and build positive relationships with new vendors
  • Process Work Orders and Change Orders for new projects with existing vendors
  • Assess personal data privacy requirements and facilitate DPSE Amendments
  • Partner with and tailor communications towards Legal, Privacy, Risk, Vendor, and Business partners to drive clarity across teams and ensure timely and effective process management
  • Coordinate the creation of supplier payment profiles within Coupa and Aravo
  • Facilitate and troubleshoot invoicing across Coupa and Aravo
  • Effective cross-functional stakeholder management
  • Serve as a central contact for contracting process questions and individual status updates
  • Accurately maintain team’s contract and purchase order databases, and ensure process documentation is up-to-date
  • Miscellaneous projects as needed by the request
  • Analyze plans, conducts, and/or prepare plans or procedures that provide operational and/or technical support to business operations to achieve specific objectives
  • Advise business groups by providing direction to initiative prioritization, integration, and resource application
  • Maintain ongoing communication and engagement with stakeholders
  • Track, maintain, and provide current information on the operation's business scorecard
  • Ensure effective and efficient operations through conducting operations analyses (i.e. operational effectiveness and capacity utilization), and recommends improvements

The ideal candidate must have:

  • A minimum of 2 years of business experience, with prior experience in vendor management, procurement, or a service-oriented operations role
  • Experience working with contracts including partnering with legal, privacy, vendors, and business departments
  • Strong interpersonal skills and proven ability to build key relationships with stakeholders
  • Strong verbal and written communication skills, including proven ability to reframe and simplify technical communications to diverse audiences
  • Strong attention to detail and proactive approach to identifying and resolving potential problems
  • Ability to dynamically prioritize with several projects in process at all times
  • Maintain detailed, accurate, and organized files
  • Proficient in Microsoft Office
  • Previous experience with market research data, personal data handling requirements, preferred
  • Previous experience with Coupa, Salesforce, Aravo, and Aha!, preferred

Education:

  • Bachelor's degree preferred.

Hours & Location:

  • M-F, 40 hours/week. This role is a hybrid setup with 2 days onsite and 3 days remote at our Customer’s Beaverton, OR location.
