Job description
Overview:
We are seeking a highly skilled and agile Zoom Event Producer to support our Leadership Development Training Programs.
In this role, you will ensure that all facilitators and participants have the necessary information and materials to deliver the training successfully.
You will also be the go-to person for managing all aspects of the Zoom platform during the training sessions, ensuring smooth operations and a seamless experience for all attendees.
Key Responsibilities:
- Pre-Program Preparation:
- Coordinate with facilitators to ensure all training materials, slides, and resources are ready for presentation.
- Confirm all Zoom links, breakout rooms, and session schedules are set up accurately and distributed to participants and facilitators in advance.
- Provide technical support to facilitators and participants as needed before the session begins.
- During Training Sessions:
- Serve as the primary Zoom host, managing all technical aspects of the session, including but not limited to:
- Setting up and managing Zoom meetings, webinars, and breakout rooms.
- Ensuring all audio, video, and screen-sharing functions are working properly.
- Monitoring and managing participant engagement tools such as polls, Q&A, chat, and reactions.
- Troubleshooting any technical issues that arise in real-time to minimize disruptions.
- Maintain active communication with facilitators to ensure they have what they need during the training session.
- Manage participant interactions in Zoom, including muting/unmuting, promoting participants to panelists, and handling any technical disruptions.
- Post-Session Support:
- Assist in the post-session wrap-up by ensuring all session recordings, materials, and resources are properly saved and distributed as needed.
- Gather feedback from participants and facilitators regarding the Zoom experience to improve future sessions.
Qualifications:
- Proven experience as a Zoom Producer or in a similar virtual event management role.
- Expertise in using all aspects and features of Zoom, including meetings, webinars, breakout rooms, polls, and participant management.
- Strong technical troubleshooting skills and the ability to resolve issues quickly and effectively during live sessions.
- Excellent organizational skills with the ability to manage multiple tasks and deadlines.
- Strong communication skills to work effectively with facilitators and participants.
- Ability to adapt quickly to changing circumstances and stay calm under pressure.
- Detail-oriented and proactive in ensuring everything runs smoothly.
Additional Information:
- This is an hourly position, and program hours will be provided in advance.
- The ideal candidate will be highly flexible and adaptable to the needs of the program, working effectively in a remote virtual environment.
