Job Description

We are looking for an experienced Virtual Assistant with a pleasant demeanor and exceptional relationship management skills. The ideal candidate will have strong organizational abilities, exceptional project management skills, and a deep understanding of project management tools and technologies. Experience in the luxury tourism or retail sector is a significant plus. Confidence and the ability to lead virtual video meetings and effectively communicate with clients by phone are essential for this role.

Key Responsibilities

- Provide administrative support to the CEO, including managing calendars, scheduling meetings, and organizing travel arrangements.

- Manage and coordinate projects, ensuring timely completion while leveraging project management tools and technology.

- Lead virtual video meetings with clients, partners, and internal teams, ensuring clear communication and effective collaboration.

- Serve as a primary point of contact for clients, partners, and other stakeholders, maintaining strong and positive relationships.

- Handle phone communications with clients, addressing their needs and inquiries with professionalism and confidence.

- Oversee and manage communication, ensuring the CEO is kept informed of key updates and developments.

- Assist in the preparation of reports, presentations, and other business documents.

- Handle confidential and sensitive information with discretion.

- Conduct research and gather data to support business decisions.

- Assist with day-to-day operations and ensure the smooth running of business activities.

Qualifications

- Proven experience as a Virtual Assistant, Executive Assistant, or similar role.

- Exceptional organizational and project management skills.

- Strong knowledge of project management apps and tools (e.g., Asana, Trello, Monday.com).

- Confidence and ability to lead virtual video meetings and communicate effectively by phone.

- Ability to manage multiple tasks and projects simultaneously with a high level of accuracy and attention to detail.

- Excellent communication and interpersonal skills, with the ability to build and maintain strong relationships.

- Tech-savvy, with proficiency in using a wide range of digital tools and platforms.

- Experience in luxury tourism or retail is highly desirable.

- Ability to work independently and take initiative in a fast-paced environment.

- Discretion and confidentiality in handling sensitive information.

- Strong problem-solving skills and the ability to adapt to changing priorities.
