Our Customer was founded in 1982 in an effort to create a solid accounting firm headed by native professionals. They later branched out to other services, which is now a multinational professional services network with offices in over 150 countries and territories around the world. With more than 100,000 professionals, they provide audit and assurance, tax, consulting, and risk and financial advisory services to a broad cross-section of the largest corporations and governmental agencies.


We are seeking a Virtual Event Specialist on a contract basis to help support our Customer’s business needs. This role is a hybrid setup (3 days onsite and 2 days remote/week) in Hermitage, TN.


This role is an experienced-level role responsible for delivering high-quality visual collaboration solutions that enhance customer experiences across virtual, hybrid, and in-person events. Operating both independently and as a key team member, this role ensures the effective and efficient resolution of technical issues, including technical execution, root cause analysis, and timely problem-solving for large-scale events. The position requires a high degree of discretion and confidentiality, as it often involves access to sensitive information and participation in C-Suite-level meetings.


The scope of accountability includes partnering with senior leaders, Technology Support, and external clients both in the US and globally. The role serves as a central point of contact for event planning, coordination, and execution, overseeing all production and technical aspects from pre-production through post-production. Responsibilities include consulting with clients to determine optimal technology solutions, managing event logistics, ensuring all audio-visual elements are properly set up, and aligning event execution with client vision and expectations. The position leverages extensive technical and event management expertise to deliver seamless, high-impact collaborative experiences.



Responsibilities:

  • Schedule, coordinate, and facilitate live virtual, hybrid, and in-person events, ensuring logistical and technical aspects are managed from planning through execution
  • Monitor events in real time, proactively address issues, and provide timely post-event communication and follow-up with clients
  • Collaborate with clients to understand event objectives and specifications
  • Configure event layout, design, and technical features to align with client requirements
  • Establish and maintain strong working relationships with clients, acting as a trusted advisor and primary point of contact throughout the event lifecycle
  • Enhance service quality by gathering and acting on client feedback
  • Explain technical features and event options to both technical and non-technical audiences
  • Present confidently to large audiences while being on camera during live events
  • Educate clients on technical requirements and best practices for virtual and in-office events
  • Provide training on web conferencing platforms and offer live technical support
  • Escalate complex issues promptly to management and contribute to process improvement discussions
  • Manage incoming requests and allocate resources to support multiple events and deadlines
  • Demonstrate flexibility in working hours, including early mornings, evenings, or weekends as required
  • Prioritize tasks and make sound decisions in high-pressure, fast-paced environments
  • Maintain focus and effectiveness when handling simultaneous demands


Qualifications:

  • Bachelor’s Degree
  • 2-4 years of related experience with live production and collaboration technology/platforms
  • Background in broadcast or video production preferred, but not required
  • No specific licenses or certifications required
  • Setup, configuration, and troubleshooting of AV equipment for various event formats
  • Knowledge of event production workflows, including pre-production, live execution, and post-production
  • Ability to demonstrate best practices for staging, lighting, camera, and audio setup
  • Proficiency with Zoom, Microsoft Teams, Webex, and other major web conferencing platforms
  • Ability to train clients and provide real-time technical support during events
  • Experience with tools used for event scheduling, coordination, and facilitation
  • Real-time event monitoring and troubleshooting
  • Perform root cause analysis and resolve technical issues efficiently
  • Explain complex technical concepts clearly and professionally
  • Customize technical configurations and layouts to meet specific client requirements
  • Manage requests, allocate resources, and prioritize multiple technical responsibilities
  • Understand and apply escalation protocols and contribute to continuous improvement initiatives
  • Maintain technical documentation for event processes and configurations
  • Manage simultaneous technical demands and make effective decisions under pressure
