We are seeking a Workplace Associate on a contract basis to help support their ongoing business needs. This role is on-site in Minneapolis, MN.
The Workplace Associate provides comprehensive workplace management services to create a best-in-class experience while supporting routine facility operations. As the first point of contact at Reception, this pivotal role delivers authentic service experiences that strengthen the bond between the company, its clients, and its guests. The position involves continuous monitoring of facility conditions, procurement management, work order coordination, and welcoming employees with genuine hospitality. This role maintains smooth operations through exceptional customer service, thoughtful administrative support, and execution of duties to the highest professional standards.
Responsibilities:
Site Operations
- Create a comfortable, welcoming, and hospitable environment for employees and guests.
- Support the Workplace Management team with tactical planning and daily operations.
- Handle internal and external communications, including monitoring the main phone line.
- Provide facility-specific assistance to the project management team.
- Schedule, coordinate, and communicate maintenance activities.
- Manage internal and building work order systems and invoice processing.
- Anticipate client needs through observation to enhance the overall experience.
- Perform additional responsibilities as assigned by the Facilities Manager.
Workplace Experience
- Provide timely, authentic, and caring services to all employees and visitors.
- Serve as a solution provider by directing teammates and guests to the appropriate resources.
- Monitor facility conditions and ensure timely follow-up with stakeholders.
- Provide direction to vendors and service providers to ensure coordination of work.
- Assist with meeting and conference room reservations.
Visitor Management
- Deliver efficient visitor registration services with a focus on customer service.
- Ensure compliance with visitor access regulations.
- Execute emergency response plans when required to ensure the safety of guests and staff.
Kitchen Management
- Maintain the cleanliness of the kitchen and break areas.
- Monitor and restock snacks, drinks, and supplies.
- Place supply orders as needed.
- Ensure beverage machines function properly and coordinate repairs when necessary.
Mail Services
- Manage receipt and distribution of mail and courier deliveries.
- Organize outgoing packages and overnight shipments.
Compliance & Administration
- Administer and maintain badge access for the office.
- Support budgetary requests, reporting, and analysis.
- Follow all HSSE (Health, Safety, Security, and Environment) guidelines.
Skills and Qualifications:
- Associate’s degree in Facilities Management, Business, or related field strongly preferred.
- 2+ years of experience in facilities or property administration preferred (not required).
- Superior customer service skills.
- Ability to maintain professionalism in stressful situations.
- Strong organizational skills, time management, and attention to detail.
- Ability to multitask and work independently.
- Experience with Corrigo or other CMMS/Automated Work Order systems a plus.
- Proficiency with Microsoft Office applications.
- Strong written and verbal communication skills.
- Ability to collaborate effectively across teams and vendors.
- Advanced Excel proficiency, with the ability to customize and generate administrative reports.
