Our Customer is a corporation that develops, manufactures, and markets robotic products designed to improve clinical outcomes of patients through minimally invasive surgery. Founded in 1995, their goal was to create innovative, robotic-assisted systems that help empower doctors and hospitals to make surgery less invasive than an open approach. Working with the top medical professionals, they continue to develop new, minimally invasive surgical platforms and future diagnostic tools to help solve complex healthcare challenges around the world.
We are seeking a The Workplace Services (WPS) Planner on a contract basis to support our Customer's business needs. This role is on-site in Sunnyvale, CA.
The Workplace Services (WPS) Planner will report to the Manager of Facilities Operations and Services and will work closely with the Workplace Services Events Coordinator. The WPS Planner will review and process reservation requests, manage schedules for event technicians, and communicate with stakeholders to ensure that all event details are understood and communicated with the supporting functions.
Responsibilities:
- Monitor the Workplace Services inbox for events-related inquiries and space reservation requests.
- Manage all incoming Cvent tickets and follow up with the requestors if additional information is needed. Submit tickets for support functions (Facilities, Janitorial, etc.) when requested.
- Create daily schedules for the Events technicians.
- Proactively engage with the requester for upcoming events. Includes week-before event contact to determine if there are any changes to the reservation.
- The planner is expected to walk the event space with the requester as needed.
Qualifications:
- Minimum 2 years of experience in the event management environment
- Strong critical thinking skills to make informed decisions and develop innovative solutions
- Extensive experience using Outlook
- Highly developed interpersonal/communication skills
- Writing and speaking skills through written proposals, meeting facilitation, and oral presentations are essential
- Experience in cross-collaborating with multiple business units
